Enabling and Disabling an Inbox
The Inbox lists documents that are awaiting action by users for processing. For example, a group of people might have responsibility for approving contents of letters before they can be printed and sent to customers. These letters are listed in the Inbox of members of this group.
When a user selects an action, such as approve or delete, the action is implemented by a remote branch. You can add or remove actions according to your requirements. You can also disable Inbox features for a category so that documents for that category are not shown in Inboxes.
Inbox-enabled categories cannot support subscriptions.
Your product license determines how many Inbox-enabled categories are permitted on your installation.
To enable an Inbox for a category:
- On the Categories tab, click Inbox Settings.
- Select the Category.
- Click Enable.
-
In the Actions area, enter details of any branch files that users can select to process documents stored in the category. For each branch file:
- In the Caption field, enter a name or short description of the action. The text you enter here is displayed as an option on the user's Home page, and in the View Document window.
-
In the Branch field, enter the path to the branch, starting at the package that contains the branch.
For example, to specify a branch called approve.fsp, which is stored in the inbox subfolder of the global package, enter global\index\approve.fsp .
- Click Add.
-
In the Subject area, enter the text to use as the default subject for new documents that have no subject specified, and then click Save.
To include the index value in the text, enclose the name of the index in braces ( { } ). For example, to include the value of the Invoice Number index, enter:
Invoice No. {Invoice Number} -
If the category is associated with a Responder application, in the Responder area:
-
Enter the path to the Responder Branch, and then click Save.
-
If the toolbar normally displayed at the top of the View Document window is not required when displaying documents in a Responder application, click Hide Toolbar.
Alternatively, if the toolbar is currently not displayed, to enable it to be displayed, click Show Toolbar.
-
Note When the URL used to access pages differs from that specified on the General Settings page, as for example when the server is specified as localhost or as an IP address, the View Document window does not close after the user has selected an option specified in a Responder branch. |
To disable Inbox features for a category:
- On the Categories tab, click Inbox Settings.
- Select the Category.
