Managing User Profiles

If you have Administrator access rights, you can use the Profiles page to edit the details of any user.

When you change the details of a Windows user, the changes are made to the user's Transform Content Center details only. You cannot change the details that are held in the Windows domain.

You can change all the details of a user, effectively replacing one user with another, but keeping the same access rights. This is useful, for example, when a user leaves and is replaced by another person, because it saves having to delete the original user, create a new one, and then apply the necessary category security.

To edit a user profile:

  1. On the Users tab, click Profiles.
  2. Under Current Users And Groups, select Users, and then click the user whose details you want to edit.
  3. Edit the Details as required:

    Name This must be unique within the system and can contain an unlimited number of characters (a-z, 1-9, underscore, or space).
    Full Name This can contain an unlimited number of characters (a-z, 1-9, underscore or space).
    Email Address This must be in a valid email address format: for example, info@bottomline.com.
    Preferred Email Format Select the preferred format for sending email.
    Out of Office

    If the user is responsible for processing Inbox documents, select this to enable other users to process those documents while the user is away from the office.

    Branches can use the value of this setting to determine whether to redirect documents to an alternative user.

    After selecting Out of Office, when you click Save, a prompt asks whether you want to review the documents that the user owns. Click either:

    • OK to display a list of any documents the user owns so that you can release them from the user's ownership and allow other users to process them.
    • Cancel to leave the ownership of documents unchanged.
    Change Password

    Select this to change the selected user's password.

    This option is not available for Windows users because such users can change their passwords only at the operating system level.

    Password

    This can contain an unlimited number of characters.

    If the Password Settings page specifies that settings are enforced, it is possible that passwords must contain a minimum number of characters, a combination of numbers, letters, and symbols, or both.

    Confirm Password This must match the entry made in the Password field.
    Account Disabled

    This setting is available only when the value of the Maximum number of failed sign in attempts setting on the Password Settings page is greater than zero.

    Select this to prevent the user from signing in to the Transform Content Center application; clear it to enable the user to access the application.

    A user's account is automatically disabled when a user exceeds the number of failed sign-in attempts.

    Access rights

    Select:

    • Administrator to allow the user access to Transform Content Center administration options in addition to all user and reprint options.
    • User to allow the user access to the Transform Content Center user pages.
    • Reprint to allow the user access to the Reprint tab only.

  4. Click Save.

Notes

  • You cannot create or delete users on the Profiles page. Use the options on the Web Users and Windows Users and Groups pages to do this.
  • Some applications include additional user settings to those shown in the above table.
